Welcome to Guilgal Academy. By enrolling your child, using our services, accessing our website, submitting forms, scheduling tours, or participating in our programs, you agree to the following Terms and Conditions. These terms are designed to promote a safe, positive, and educational environment for all children, families, staff members, and visitors.
1. About Guilgal Academy
Guilgal Academy is an early childhood education center providing childcare, preschool, Voluntary Prekindergarten (VPK), before-school care, after-school care (where available), educational enrichment, and related family services.
Our mission is to provide a safe, nurturing, educational, and values-based learning environment where children can grow academically, socially, emotionally, physically, and spiritually.
2. Enrollment Requirements
Enrollment is subject to available space and completion of all required documentation.
Parents or legal guardians must provide:
- Completed enrollment forms
- Emergency contact information
- Current immunization records or approved exemptions
- Physical examination forms as required by Florida regulations
- Custody documentation, if applicable
- Authorization forms required by state licensing agencies
- Any special care instructions or medical information necessary for the child’s wellbeing
Submission of an application does not guarantee acceptance or placement.
Guilgal Academy reserves the right to deny enrollment when it determines that the program cannot adequately meet a child’s needs or when enrollment would interfere with the safety or wellbeing of other children.
3. Tuition and Fees
Parents agree to pay all tuition, registration fees, activity fees, late fees, and any other charges associated with enrollment.
Tuition obligations apply regardless of attendance unless otherwise specified in writing.
Tuition reserves your child’s space and staffing allocation and is therefore not solely based on attendance.
Fees may include:
- Registration fees
- Tuition
- Supply fees
- Activity fees
- Late pickup fees
- Returned payment fees
- Field trip fees
- Special program fees
Guilgal Academy reserves the right to adjust tuition or fees with reasonable notice to families.
4. Payment Policies
Payments are due according to the schedule outlined in your enrollment agreement.
Accepted payment methods may include:
- ACH payments
- Debit cards
- Credit cards
- Online payments
- Approved subsidy programs
- Other approved payment methods
Late payments may result in:
- Late fees
- Suspension of services
- Temporary loss of enrollment privileges
- Collection activity
- Termination of enrollment
Parents remain responsible for all outstanding balances.
5. Attendance and Arrival Policies
Regular attendance supports educational continuity and child development.
Parents are responsible for:
- Signing children in and out as required
- Ensuring authorized pickup persons are listed on file
- Providing updated contact information
- Arriving during operating hours
Children may only be released to authorized individuals with valid identification when requested.
6. Operating Hours
Operating hours are established by Guilgal Academy and may be modified periodically.
The Academy may close for:
- Holidays
- Professional development days
- Severe weather events
- Emergency situations
- Building maintenance
- Government-mandated closures
Families will be notified whenever reasonably possible.
No refunds or credits are guaranteed for emergency closures beyond the Academy’s control.
7. Late Pickup Policy
Children must be picked up before closing time.
Late pickups may result in additional charges.
Repeated late pickups may result in:
- Written warnings
- Administrative conferences
- Suspension
- Termination of enrollment
The Academy reserves the right to contact emergency contacts if a child is not picked up within a reasonable time after closing.
8. Health and Illness Policies
To protect all children and staff, sick children may not attend the Academy.
Children may be excluded if they exhibit symptoms including but not limited to:
- Fever
- Vomiting
- Diarrhea
- Contagious rashes
- Severe cough
- Communicable illnesses
- Other symptoms that may jeopardize the health of others
Parents may be required to pick up children who become ill during the day.
Medical clearance may be required before returning to the program.
Medication administration policies must be followed in accordance with Florida regulations and Academy procedures.
9. Emergency Medical Authorization
In the event of a medical emergency, parents authorize Guilgal Academy staff to seek emergency medical treatment for their child if a parent or guardian cannot be reached immediately.
Parents remain financially responsible for all medical expenses incurred.
The Academy does not guarantee the availability of specific medical providers or emergency services.
10. Behavioral Expectations
Guilgal Academy is committed to providing a safe and respectful learning environment.
Children are expected to demonstrate age-appropriate behavior.
The Academy utilizes positive guidance and redirection techniques consistent with state childcare regulations.
Parents may be required to participate in behavior support planning when necessary.
Enrollment may be terminated if a child’s behavior presents an ongoing safety concern that cannot reasonably be accommodated.
11. Parent Conduct
Parents, guardians, visitors, and family members are expected to interact respectfully with staff, children, and other families.
The following may result in immediate removal from Academy property or termination of enrollment:
- Threatening behavior
- Harassment
- Discrimination
- Verbal abuse
- Physical aggression
- Intoxication
- Disruptive conduct
The Academy reserves the right to protect its staff, students, and families.
12. Photography, Video, and Media
The Academy may photograph or record activities for educational, promotional, social media, website, yearbook, and marketing purposes.
Parents may opt out through written notification where permitted.
Parents agree not to publish photos or videos of other children without authorization from the Academy and the affected families.
The Academy cannot guarantee removal of images previously published with valid authorization.
13. Technology and Website Use
Users of the Guilgal Academy website agree not to:
- Submit false information
- Attempt unauthorized access
- Disrupt website functionality
- Upload harmful software
- Use Academy materials without permission
All website content remains the property of Guilgal Academy unless otherwise stated.
14. Liability Limitations
While Guilgal Academy takes reasonable measures to provide a safe environment, participation in childcare, educational activities, playground activities, field trips, and related programs involves inherent risks.
To the fullest extent permitted by law, parents acknowledge and accept these risks.
The Academy shall not be liable for:
- Accidents occurring despite reasonable supervision
- Lost or damaged personal property
- Events beyond its reasonable control
- Service interruptions caused by emergencies
Nothing in these terms limits rights that cannot legally be waived under applicable law.
15. Field Trips and Special Activities
Participation in field trips, special events, and off-campus activities may require separate authorization.
Parents acknowledge that transportation and activities carry inherent risks.
Specific guidelines and permissions may apply to individual events.
16. Withdrawal and Termination
Families may withdraw their child by providing written notice in accordance with Academy policies.
The Academy reserves the right to terminate enrollment for reasons including:
- Nonpayment
- Repeated policy violations
- Safety concerns
- Misrepresentation of information
- Failure to cooperate with Academy requirements
Outstanding balances remain due following withdrawal or termination.
17. Privacy
Guilgal Academy respects the privacy of children and families.
Information collected may be used for:
- Enrollment administration
- Educational services
- Regulatory compliance
- Health and safety purposes
- Parent communications
Information will be handled in accordance with applicable laws and regulations.

18. Changes to Terms
Guilgal Academy reserves the right to modify these Terms and Conditions at any time.

These Terms and Conditions shall be governed by the laws of the State of Florida.
Any disputes arising from Academy services shall be resolved in the appropriate courts located in Orange County, Florida.
